Event Scenting for Workshops: A Real Case Study from Writer’s Ki Pathshala, Vadodara

Aroma Branding, Casestudy

Quick summary: On 19 July 2026, we worked as the official event scenting partner for “Writer’s Ki Pathshala,” a writing workshop led by author and speaker Prakash Gowda at Rock Soul Cafe in Vadodara. This post walks through our actual scent-selection process, the citrus-and-musk fragrance we curated for the space, and what any event organizer can learn from it about ambient scent marketing.

Why We’re Sharing This Case Study

Most articles on scent marketing are theoretical. This one does not. Every single thing below, the venue challenges, the fragrance notes we tested, why we made each choice, comes directly from the walkthrough and diffusion setup our team performed on-site for this particular event. We’re putting our process out there to be seen by all, so event planners, cafe owners and workshop hosts know what goes into professional event scenting services, not just what the finished result smelt like.

The Brief: Scenting a Working Coffee Shop, Not a Blank Room

Rock Soul Cafe in Vadodara hosted “Writer’s Ki Pathshala,” an interactive session for aspiring authors. Unlike a banquet hall or empty exhibition space, this venue came with two built-in constraints that any experienced scent consultant has to plan around:

  1. An existing, dominant aroma. Fresh espresso already fills a coffee shop. Layering in a generic air freshener or a heavy floral scent creates olfactory clutter the two smells compete instead of blending.
  2. A distinct interior identity. Plush leather couches, warm wood finishes, and cozy reading corners give Rock Soul Cafe a tactile, grounded feel. A scent that ignores the decor feels bolted on rather than built in.

Our job was to design a fragrance that respected both one that would sit alongside the coffee aroma and the leather-and-wood interior, not on top of them.

The Fragrance We Built: Bright Citrus Over Warm Musk

After a pre-event walkthrough of the venue layout and a look at how the workshop would run (long stretches of focused listening, breakout writing exercises, group discussion), we landed on a two-layer scent profile:

Layer

Notes

Role in the Space

Top notes

Citrus

Supports alertness and mental clarity during a learning session

Base notes

Musk

Echoes the warmth of the leather furniture and wood finishes

Result

Citrus + Musk

Sits beside the espresso aroma instead of masking or fighting it

Why citrus for a writing workshop specifically?
Many ambient scents use citrus top notes because they are not heavy but rather clean and energising. In a room of people listening for over an hour, taking notes, and then transitioning into creative writing exercises, a scent that helps with focus without being distracting is more important than one that is just “pleasant.”

Why musk as the base?
Musk has depth, but not sweetness. It has a similar sensory ‘weight’ to leather and roasted coffee, so it doesn’t compete, but acts almost like connective tissue between the textures already in the room the couches, the wood, the espresso – and the new layer of scent we added.

Citrus and musk work on a different olfactory register than roasted coffee, so the two profiles could live in the same room without one drowning out the other.

Why Ambient Scenting Is Worth Considering for Your Next Event

Scent is one of the few senses tied directly to the brain’s memory and emotion centers, which is why scent marketing for events has moved from a novelty to a standard part of experiential event planning. A few practical reasons organizers use it:

  • It supports focus, not just ambience. Clean, bright notes like citrus can help reduce mental fatigue during long seminars, panels, or workshops useful anywhere attention span is the currency (training sessions, conferences, classrooms).
  • It reinforces memory of the event. Smell is strongly linked to memory recall think of how a specific scent can instantly bring back a place or moment. Pairing a signature scent with a workshop or brand activation gives attendees a sensory anchor that outlasts the visuals.
  • It signals attention to detail. A curated scent as opposed to no scent, or an off-the-shelf air freshener tells guests that the organizer thought about every layer of the experience, not just the obvious ones like lighting and seating.

How We Approach Event Scenting Consultations

Every venue and audience is different, so a corporate product launch, a wedding, and an intimate literary workshop like this one each call for a different scent strategy. Our process for any event scenting engagement looks like this:

  1. Space & airflow audit — We assess room size, ceiling height, HVAC circulation, and any existing odors already present (food, coffee, outdoor air).
  2. Intent & audience profiling — We ask what feeling the organizer wants attendees to leave with: energized, calm, focused, reflective, festive.
  3. Fragrance curation — We sample micro-formulations on-site with the organizer, choosing notes that match both the room’s aesthetic and the event’s purpose.
  4. Cold-diffusion setup — We install quiet, commercial-grade cold-air diffusers. Cold diffusion releases fragrance without heat, smoke, or residue, so it’s safe for indoor venues with soft furnishings, electronics, or food service nearby.

This isn’t a one-size-fits-all spray and go service – it’s a short consultation followed by a tailored setup for the specific room and event.

Planning a Workshop, Launch, or Pop-Up of Your Own?

If you’re organizing a workshop, corporate offsite, retail pop-up, or brand activation and want the space to feel as considered as the content itself, ambient scenting is one of the more affordable ways to elevate the guest experience.

Get in touch to schedule a 1-on-1 event scenting consultation and we’ll walk your venue through the same process outlined above — space audit, scent sampling, and a diffusion plan built around your event.

Frequently Asked Questions

  1. What is event scenting?
Event scenting is the practice of introducing a curated fragrance into a venue using professional diffusion equipment, designed to complement the space, support the event’s mood or purpose, and leave attendees with a stronger memory of the experience.
  2. Does event scenting work in spaces that already have a strong smell, like a coffee shop or restaurant?
Yes, but it requires more careful fragrance selection. The goal is to choose notes that operate on a different sensory register than the existing aroma (as we did with citrus-musk alongside espresso) so the two complement rather than compete.
  3. Is ambient scenting safe for indoor venues?
Professional cold-air diffusion systems release fragrance without heat or smoke, making them suitable for indoor spaces with furniture, electronics, or food nearby. This is different from candles or heat-based diffusers, which carry fire and residue risks.
  4. How far in advance should I book an event scenting consultation?
A pre-event walkthrough is ideal at least 2 weeks in advance before the event so the scent profile can be sampled and adjusted on-site rather than chosen sight unseen.
